Terms and Conditions
Effective and last updated:
These Terms and Conditions explain the use of the website and customer portal of Bethlehem Animal Clinic (“Bethlehem,” “we,” or “us”) and online registration for services at our clinic in Taytay, Rizal. Please read them before creating an account or submitting a service registration.
1. Application of these terms
By accepting these terms during customer registration, you agree to the responsibilities described here. You must be able to enter into an agreement and have authority to arrange care for the pets you register. If you arrange services for someone else, provide information and instructions only with their authority.
Our Privacy Policy explains how information is handled. Acknowledging that notice is separate from giving consent for a specific use of personal information. These terms govern website use and service arrangements; clinical instructions and any separate treatment or procedure consent apply to the care concerned.
2. Customer accounts and security
Provide accurate first and last names and an email address you control. A username and mobile number are optional at signup. Keep your details current and complete the verification requested by the platform. Email verification is required to complete customer registration; mobile verification, where available, is a separate process.
Keep passwords, verification links, and security codes private. Use your own account and sign out on shared devices. Notify the clinic promptly if you believe another person has gained access. We may require verification before changing protected account details or restoring access. Submitting signup details alone does not establish a completed account.
3. Pet profiles and owner responsibilities
Give accurate pet details and relevant care information, including known medical conditions, vaccination history, allergies, behavior concerns, and special handling needs. Tell staff about changes before a visit. Customer-entered information may need to be checked by clinic staff and does not replace an examination or a verified clinical record.
Bring your pet and any records or items requested for the visit. Follow staff instructions for safe handling, arrival, and collection. Discuss risks or concerns with the attending professional before authorizing care.
4. Online service registration
The portal supports registration for clinic and grooming services using the options available at the time of submission. Review the pet, service, date, and any preferred arrival details before sending a request. Account registration and registration for a pet's visit are separate steps.
An online registration is not a guaranteed appointment, guaranteed admission, or a promise that a particular service will be performed. Staff must assess the request and the pet's needs. Duplicate or overlapping active visits may be restricted, and an existing pending or active visit may need to be resolved before another can be registered.
5. Status, arrival, queues, and availability
Registration status and preferred arrival windows help organize visits. They do not reserve an exact consultation or grooming start time. Service availability depends on staffing, capacity, operating schedules, the pet's condition, and other visits requiring attention.
Check the portal and clinic communications for changes and follow check-in instructions. Pending registrations can expire or be marked as no-shows under the conditions shown for the visit. Contact the clinic if you need clarification about arrival or whether a service is available.
6. Veterinary assessment and treatment
Clinic services include veterinary consultations and, where appropriate and available, vaccinations, treatments, surgery, diagnostic imaging, laboratory testing, and confinement. The attending veterinary professional determines which assessments or services are appropriate after considering the pet's condition and available information.
The website arranges visits and provides access to related records; it does not provide a remote veterinary consultation. Online descriptions and status updates are not a diagnosis or individualized treatment advice. If your pet needs urgent attention, seek prompt veterinary care instead of waiting for an online status update.
Agreeing to these website terms does not authorize a treatment, operation, sedation, or other procedure. Discuss the proposed care, costs, alternatives, and relevant risks with clinic staff and provide any separate consent required. Follow the instructions given for medication, aftercare, and follow-up, and report concerns promptly.
7. Grooming and progress updates
Available grooming options include bathing, trimming, and grooming packages for dogs and cats. The appropriate service and charges can depend on the pet's size, weight, coat, condition, selected package, and any additional services discussed with staff.
The portal can show grooming progress and completion status. Any estimated timing is a guide and may change with the pet's behavior, care needs, coat condition, or the day's workload. No fixed completion time is promised. Follow the clinic's collection instructions and confirm readiness with staff when necessary.
8. Charges, billing, and payment
Review the service descriptions and prices presented to you and ask staff about any charge you do not understand. Final billing reflects the services, products, quantities, and applicable adjustments recorded for the visit. Discuss additional care or grooming requirements and their charges with the clinic.
Use the payment methods made available by clinic staff, including cash. Where online payment is enabled, checkout is handled through PayMongo and the payment methods displayed there, which may include QR Ph. Provider availability and confirmation affect completion of a payment. A pending checkout or a return to the website alone is not proof of successful settlement; retain your receipt or transaction reference for questions.
9. Cancellations, changes, and refunds
Use the cancellation option when it is available for your visit, or contact the clinic for assistance. Online cancellation is subject to the visit's current status and the limits displayed by the platform. A visit that is already in progress, completed, or paid may require staff assistance rather than online cancellation.
Contact the clinic to discuss a different date or service; changes depend on availability and the state of the visit. If you have paid and need a correction, cancellation, or refund, provide the visit and payment reference so staff can review the circumstances and any applicable payment-provider process. These terms do not establish a cancellation fee, automatic refund entitlement, or fixed refund deadline, and do not limit rights provided by applicable law.
10. Service and account communications
We use the portal and email for account verification, security, recovery, and relevant service communications. SMS verification and grooming completion messages may also be available when enabled and supported for your number. Supplying a mobile number does not itself verify it.
Keep contact details current and check messages relevant to your request. Delivery can be delayed or fail because of provider or network conditions. Contact the clinic when you need confirmation. Required account or service messages are distinct from any optional promotional communications.
11. Acceptable use
Use the website for legitimate account and pet-care arrangements. Do not impersonate another person, submit false records, access another customer's information, share harmful files, misuse verification features, interfere with payments, or attempt to bypass access controls. Do not disrupt the service through abusive or automated requests. Respect the privacy of other customers and clinic staff.
12. Account access and closure
Access depends on successful authentication and account status. Accounts that are inactive, archived, or deleted cannot be used for normal customer access. Bethlehem may restrict access to address misuse, security concerns, or the need to protect customer and clinic records. Contact the clinic if you believe access has been restricted in error.
Contact the clinic to request account closure or deletion of your personal information. Account closure does not necessarily erase visit, clinical, payment, or other records that must be retained for lawful purposes. The Privacy Policy explains retention and applicable rights.
13. Service limitations and responsibilities
Website access, messages, and status displays depend on systems that can experience interruptions, maintenance, or delayed updates. Confirm time-sensitive arrangements directly with the clinic. Bethlehem remains responsible for its obligations under applicable law, and customers remain responsible for accurate instructions, safe handling, and payment for agreed services.
Care decisions depend on the individual pet and clinical findings. An estimate or online description is not a guarantee of a particular clinical or grooming result. Nothing in these terms removes a responsibility or consumer right that Philippine law does not permit to be excluded.
14. Updates, governing law, and contact
Philippine law governs these terms. Raise questions or concerns with Bethlehem using the contact details below. You retain any right to seek assistance or remedies from the appropriate Philippine authority or court.
We may update these terms as services or requirements change. The date above identifies this version. We will provide notice of material changes as appropriate and request renewed acceptance when required; a later version does not change the acceptance evidence already recorded for an earlier registration.
